Virtual Administrative Assistant

The Virtual Administrative Assistant will provide administrative support to clients while working remotely. You will perform various administrative tasks, including answering emails, scheduling meetings, doing light research and data entry, reconciling accounts, and sending invoices. For this role, a strong Internet connection, webcam, and reliable computer are required, along with experience using communication tools like Zoom, Slack, and the Google Suite. Ultimately, you should be able to handle administrative projects and deliver high-quality work by deadlines under minimum supervision.

Responsibilities

  • Respond to emails and phone calls

  • Schedule meetings and manage calendars

  • Manage client requests and direct to appropriate team member

  • Manage contact lists and client data

  • Prepare client spreadsheets and keep records

  • Perform market research

  • Create presentations, as assigned

  • Address clients administrative queries

  • Provide customer service as the first point of contact

  • Meet with HSI Account Managers and report out on project progression regularly

Skills

  • Proven experience as an assistant working remotely or relevant role

  • Familiarity with current technologies, like Zoom, Slack, and the Google Suite

  • Experience with word-processing software and spreadsheets

  • Knowledge of online calendars and scheduling (e.g. Google Calendar)

  • Superior phone, email, and instant messaging communication skills

  • Familiarity with CRMs and data management systems

  • Excellent time management and proven ability to meet deadlines with minimal supervision

  • Solid organizational customer service skills

  • Experience with QuickBooks Online or other bookkeeping skills preferred, but not required.

Reports to: Assigned Account Manager or Managing Partner
Compensation: $10-$20 DOE up to 20 hours a week with the potential for additional hours or full-time after six months. *This is a 1099 Contract Role
